Luncheon FAQ’s by Table Captains
Q: DO I HAVE TO REGISTER MYSELF AS A TABLE CAPTAIN?
A: If you have not already done so, please let us know that you would like to be a table captain by registering here or emailing email@example.com.
Q: HOW MANY GUESTS CAN BE SEATED AT MY TABLE?
A: Tables seat 10 comfortably, and 12 max. If you have more than 12 guests (including yourself), we will split your table and seat them at an adjacent table with another friendly table captain. We will send you a list of your registered guests closer to the Luncheon and you can let us know which guests you will want to have seated at which table.
Q: DO I HAVE TO REGISTER MY GUEST’S CHILDCARE?
A: Childcare registration is the responsibility of the parent (not the Table Captain). Share the info and let them know to sign up.

Q: AM I SUPPOSED TO SEND MY GUESTS A REGISTRATION LINK?
A: Nope. As a table captain, YOU register your guests after they confirm they are joining you. Register your guests online at this link. More information about registering your guests can be found here.
Q: HOW DO MY GUESTS PAY FOR THE LUNCHEON?
A: Your guests do not have to pay anything to attend the Luncheon. However, the Luncheon is PEPS only fundraising event and during the program, everyone will be asked to make a gift and fill in their giving card. There are many levels and options for giving. Please make sure that your guests know that this is a fundraising luncheon with the goal of raising money for PEPS programs and services.
Q: ONE OF MY POTENTIAL LUNCHEON GUESTS WANTS TO KNOW WHAT AMOUNT THEY WOULD BE EXPECTED TO DONATE. IS THERE A MINIMUM EXPECTATION?
A: There is no suggested minimum donation. PEPS hopes to raise $150,000 at the Luncheon. The average gift at the Luncheon in 2019 was $472 and gifts of $300, $500, and $1,000 will be matched by a Giving Challenge. There are many levels and options for giving. You can copy/paste this as a response to your guest and also let them know what you hope your table is able to raise to support PEPS.
Q: WHY DO I HAVE TO INCLUDE MY GUESTS’ MAILING ADDRESSES AND PHONE NUMBERS WHEN I REGISTER THEM?
A: We send all of our pre-Luncheon communications via email, but all guests receive a gift acknowledgement letter via postal mail and a thank you phone call after the Luncheon. If you don’t have the physical address or phone number for your guests, you may enter ‘don’t know’ in the Address field.
Q: ARE THE GIFTS MADE BY FRIENDS WHO CAN’T COME TO THE LUNCHEON ATTRIBUTED TO MY TABLE?
A: Yes, if we know that your friend is connected with you! If your friend makes an online donation, there is a comment field, where they should indicate your name. If your friend sends a check to the PEPS office, have them write on the check ‘[Your Name]/PEPS Luncheon’. You can also email firstname.lastname@example.org with your friends’ names and we can check if they made a donation and attribute that to your table.
Q: HOW CAN I ACCESS A LIST OF THE GUESTS I HAVE REGISTERED?
A: Email us at email@example.com and we can send you the list of guests you have registered. Closer to the Luncheon, we will send a guest list to each table host for you to double check and make changes if needed. Unfortunately at this time, we don’t have a way for you to see your registered guests online.
Q: I’M JUST CURIOUS – DO YOU INTENTIONALLY AVOID TALKING ABOUT THE PRICE OF THIS LUNCHEON? I’VE BEEN SEARCHING FOR THIS INFO BUT IT’S NEVER INCLUDED. I’M GUESSING IT’S INTENTIONAL?
A: Yes, we are very intentional about this. Our goal is to inspire everyone in the room to make a meaningful gift. There is no ticket needed to come to the Luncheon. Our average gift at the 2019 Luncheon was $472 with gifts ranging from $20 to $10,000 – a very wide range. Gifts of $300, $500, and $1,000 will be matched and monthly pledge payment options are available.
Q: CAN I MAKE A GIFT PLEDGE AND PAY IT OVER TIME?
A: Yes. Gifts of $300 and more can be paid on a monthly or quarterly basis; gifts between $100 and $299 can be paid on a quarterly basis. Paying in installments for gifts below $100 is not possible. Guests will need to provide their credit card information in the Giving Pledge Form they receive at the Luncheon, and PEPS will charge their cards monthly or quarterly over 12 months.
Q: DO I HAVE TO MAKE UP FOR GUESTS WHO DON’T DONATE?
A: No, if you invite someone to the luncheon who does not make a gift, you do not have to give more. You might follow up with a link for them to give online at http://www.peps.org/give.
