Many table captains are eager to learn what their responsibilities are during the day of the Luncheon. You don’t need to memorize it because we will send it to you prior to the Luncheon and have it waiting for you when you check in on March 10.

Doors Open at 11 am

♦ Arrive no later than 11 am, 10:45 am if possible.

♦ Check in at table captain registration table to receive your nametag and your table captain package (clear envelope) including giving cards for your guests and a check list for you.

♦ Hold on to the table captain package.

♦ Find your table (each nametag has the table number printed on it) and ‘make it yours’!

♦ Welcome your guests and other guests we may have seated at your table.

Please note: If you are or one of your guests is a current Sustainer Circle Member, there will be a special place setting for you/them with a balloon tied to the chair and an envelope addressed with your/their name that includes your/their own special giving card.

♦ Enjoy the Social Hour – take a picture with your guests; grab a mimosa and a coffee; visit the sponsor tables.

During the Program

♦ When prompted from the stage during the program by our event emcee (at app. 12:30 pm), you will pass out the giving cards to the guests at your table.

NOTE: If one or more of your guests could not come, please send the giving card to them with an ‘I missed you note’. We will include a few blank envelopes and sticky notes in your packet. You may also write the note during the Luncheon, stick it onto the giving card and put it back into the clear Table Captain packet and PEPS will send it for you.

♦ The emcee will give clear instructions for giving steps, which include

◊ raising the giving card at certain giving levels and b) filling in the giving card.

◊ Please note: Our current Sustainer Circle Members have a special giving card that looks a bit different from the general giving card. They need to fill in that giving card, not the one you pass around.

♦ Please make sure that your guests on the giving card fill in your name under ‘table captain’ and their credit card information or include their check.

♦ Remind your guests to have their gifts matched by their employer! If guests brought a matching gift form, tell them to enclose it in the giving card.

♦ Pass the clear envelope around the table to gather all completed giving cards, with checks or credit card information and possibly matching gift forms. Note: The special Sustainer Circle Member Giving Card will also be collected in this envelope.

♦ Close the clear envelope and hold on to it. A designated staff person will come and pick it up right at 1 pm when the Luncheon program ends. Please do NOT leave the table until the envelope has been picked up from your table and please do NOT walk away with the envelope.

♦ Take with you or invite your guests to take the table centerpieces, balloons and sponsor give-aways.
